Position: Client Services Manager

Role:
The Client Services Manager is responsible for managing client interactions, coordinating administrative functions, supporting marketing efforts, and ensuring operational efficiency. This individual will serve as a key point of contact for clients and collaborate across teams to enhance the overall client experience. The position involves event planning, marketing coordination, compliance adherence, and general administrative support to maintain a smooth and professional office environment.

Hours: 8:30-3pm preferred (Can be flexible)

Pay: $16-$20 (based on experience)

Key Responsibilities:

Client Interaction & Support

  • Greet clients upon arrival, ensuring a welcoming and professional experience.
  • Serve as the primary point of contact for incoming calls, handling inquiries and directing them appropriately.
  • Assist with client service requests, including scheduling appointments and resolving client issues.

Administrative Coordination

  • Maintain client records and create new client files, ensuring accurate setup in all systems.
  • Process financial paperwork in platforms such as Orion and Osaic, adhering to company procedures.
  • Manage transaction reviews and support center cases, ensuring timely resolution.
  • Maintain a paperless filing system by scanning and organizing documents daily.

Event & Marketing Management

  • Plan and execute client events (4 to 6 annually), managing schedules, compliance approvals, materials, and post-event follow-up.
  • Process regular client communications, such as mailings and birthday letters.
  • Coordinate marketing efforts, including social media updates, outdoor signage, and website management, in collaboration with the marketing team and FMG.
  • Develop and maintain marketing materials in compliance with regulatory guidelines.

Compliance & Policy Management

  • Assist with life insurance applications and policy management, including paperwork, processing, and follow-up.
  • Work with the compliance department to secure approvals for marketing and communication materials.

Office Environment Maintenance

  • Ensure a clean, organized, and professional office environment, including the conference room and common areas.
  • Restock office supplies and maintain amenities, such as beverages and snacks, for client meetings.

Collaboration & Team Support

  • Work closely with leadership to schedule client reviews and follow up on pending tasks.
  • Provide additional support to office staff as needed, including during vacation coverage or peak periods.
